Before You Book
Questions About Your Grazing Table?
Everything to know about styled displays, setup, and planning your event with us.
Booking
How do I book you?
Booking with us is handled entirely online. That said, we're always happy to speak by phone if you have questions about our service. Please note that quotes are provided via email only and cannot be given over the phone.
How do I check if my date is available?
Submit a form on our website. We build displays for a wide range of dates, styles and guest counts, so don't be afraid to reach out.
What happens if I need to cancel or reschedule?
All cancellation and reschedule policies can be found in our booking terms linked in the footer of our website. You'll also get a copy with your catering agreement when you book.
Can the serving time change after I book?
In some cases, yesβand in others, no. Once we've committed to your event time, we build our other commitments around it. If a requested change to your serving time would conflict with a commitment we've made to another party based on our original arrangement with you, we wouldn't be able to accommodate that change.
How far in advance should I book?
For the best selection of dates and styling options, we recommend booking 4β8 weeks in advance. That said, rush bookings and week-of requests are typically accommodated β though on occasion, this may mean working with a backup preference if your first choice has already been reserved.
Can I check availability before I know every detail?
Availability is difficult to confirm until we know your location and time β without those details, it's a bit like throwing darts at a wall. Once your location is set, we're able to give you a much clearer picture.
What are your payment terms?
Payment terms are dictated by your catering agreement. They are also found in the booking terms in the footer of our website.
What information do you need to give me a quote?
To prepare your quote, we simply need a few key details: your event date, time, address, and guest count.
Pricing & terms
What happens to my price if the event changes?
We can revise your event details, but confirmed guest counts cannot be reduced. Any approved changes that affect pricing will be shown in a revised quote.
What affects the price of my event?
Your final pricing reflects a few key details: the date of your event, your service time, your guest count, and your event address.
Is gratuity included or expected?
Gratuity is not included or added automatically. Tipping is optional, and any cash or card tip goes directly to the crew serving your event.
Are there any fees I should know about up front?
Your written quote shows all charges before you book, including any travel, taxes, or booking fees. We do not add fees after you accept the quote unless your event changes and you approve a revised price.
Is there a minimum spend?
Most events have a minimum based on the date, location, guest count, and service time. We will confirm your minimum in writing before you book.
Do you offer fixed per-person pricing?
Sometimes. Pricing may be per person, package-based, or subject to a minimum depending on the event. Your quote will clearly show how your price is structured.
What is included in the quote you send me?
Your quote covers food service for the quoted guest count, along with the plates, utensils, and serving supplies included with your selected service.
How is your pricing structured?
Every event is quoted individually based on the menu, guest count, service time, and location. Your accepted quote is your price unless you approve a later revision.
Are there travel fees, and how far will you travel?
Travel fees may apply based on where our serving team is coming from. If there is a travel charge, it will be listed on your quote before you book. Service range varies by date and location.
How do you work out travel costs?
Travel is based on where our serving team is coming from and the distance to your event. We operate from many major metro areas and can travel beyond them when available.
Food
Can the menu be adjusted for our event?
Absolutely β the menu can be tailored to suit your event. Our standard menus reflect our most popular selections and are thoughtfully designed to be approachable and satisfy a crowd. That said, if you already have a specific vision in mind, simply let us know and we'll gladly provide a quote built around your preferences.
How is your food actually cooked?
Everything is prepared and styled by hand in small batches, just like we do for our family, then built into the display on site.
Do you have kid-friendly options?
We're happy to include kid-friendly options for your event. For our younger guests, we simply ask that you let us know what you're thinking ahead of time β since kids can be particular, sharing what they like helps us make sure we get it right. Every child is different, and we're glad to tailor the display to make them happy.
What do you refuse to compromise on?
Quality and responsiveness. Clear, attentive communication is what gives you the confidence that we understand your vision and know exactly how to bring it to life. And the food itself is what allows your event to flow beautifully from start to finish.
What do guests notice most about your food?
Guests most notice the passion and love behind every display. Our teams don't create because they "can" β they create because they want to.
What sides and drinks come with it?
Each menu offers a different selection of accompaniments, and adjustments can be made where needed. Our beverage offerings include a curated assortment of soda and water, which vary by region.
What do you serve?
We proudly serve celebrations throughout the area. While the majority of our events are private gatherings, we also partner on select public events β each accompanied by a required sales minimum determined by our event inputs.
Dietary
How do you handle food allergies?
We are very sensitive to guest needs. We put the upmost care into accommodating, but we only know the dietary restrictions you tell us up front. If there are severe allergies or needs please let our team know up front.
Do you offer gluten-friendly options?
We absolutely can accommodate gluten-friendly preferences!
Can you accommodate dietary restrictions?
We can accommodate for almost any situation as long as we know up front. Surprises on site don't usually go well for our team or your guests.
Do you offer a vegetarian option?
Every menu we design includes a vegetarian option. While you're welcome to customize your selections, we highly recommend including at least one vegetarian offering, as it's a very common dietary preference among guests.
Service & the day
How early do you arrive before service starts?
Our team typically arrives 30-60 minutes ahead of service to allow for setup and styling. We build in this window since traffic conditions can vary.
How do you communicate with hosts before and during the event?
When our team arrives on-site we call the host to let them know we are there and to be shown where the table is going. Prior to the event we email you 24-48 hours before your party with the day-of contact for the build team. We also have an automated email that prompts you before the event to make sure everything is confirmed.
How long does service take for a larger event?
The display is built before guests arrive and stays out for the event, so there is no service line and no per-hour throughput to plan around. For very large gatherings we extend the run in 2ft sections or add a second table so guests have multiple approach points.
What happens to leftover food?
At the close of service, any remaining food is either taken with us for disposal or left with the host to enjoy β the choice is yours. If you'd like to keep the leftovers, simply let us know 15 minutes prior to service so we can have everything bundled and ready, ensuring we're able to move on to our next event on schedule.
How does the serving line actually move?
Every event has its own rhythm. The pace at the window comes down to communicationβtaking time to walk guests through the menu and offerings. Our goal is always to move guests through as efficiently as possible, but that pace is guided by how quickly your guests make their selections. When guests arrive already familiar with the menu, things can move much more smoothly.
What do you do when the line gets long?
Grazing Denver isn't a food-truck concept, so this question doesn't quite apply to how we operate β we don't work service lines. Our experience is built around styled, hosted grazing tables and displays, designed for guests to enjoy at their own pace throughout the event. That said, in the spirit of the question: if we were ever managing a high-demand moment, our approach would be to stay ahead of it rather than fall behind β batching 2-3 orders at once and preparing options for the back of the line in advance, so a few of each item are always ready to go the moment they're needed. That way, nothing sits or goes stale β everything moves out within a minute or two, with fresh backstock continuously replacing what's served to keep things flowing smoothly.
What does setup look like on event day?
Our team arrives ahead of time to unload and build the display by hand β usually a 30-120 minute setup window depending on the size of the table. Once the display is built and styled we depart, leaving only the table behind.
Do you provide plates, napkins, and utensils?
We include all necessary cutlery and disposables so your guests can enjoy the display with ease. We don't provide extras for items outside what we're bringing.
What happens at the end of service?
At the end of service we thank the host, clear the display and go.
Site & logistics
What if my venue has tight or unusual access?
We might have to adjust where we set up. All we need is the space to host the table itself, provided by you at the size we confirm together β a 4ft table needs 4ft x 2.5ft, a 12ft table 12ft x 2.5ft. Once the display is built it stays put; the table cannot be relocated without a full teardown and rebuild.
What makes a site difficult to serve?
What makes a site challenging isn't usually the space itself β it's when a venue steps in to dictate food service without the kitchen or food service capabilities to support it. We love what we do, and our goal is a beautifully executed experience that's a success for everyone involved.
What do you need from us on the day?
On the day, we simply ask for a clear, level space to park, along with someone reachable by phone as we arrive to help guide us to the right spot.
Can you serve indoors, or do you need to be outside?
We're delighted to bring our displays indoors. Most of the time, fire code requires ventilation to be in place indoors, or for cooking to be done via electric equipmentβbut it's something we can figure out together if needed.
Who handles permits and venue approvals?
Permit and venue approvals are handled by the host. We can provide licensing and proof of insurance, but we do not pull event permits or cover venue costs on a host's behalf.
Do you need power or water hookups?
No, our setup is fully self-sufficient once we're in place β no power or water hookups required.
How much space do you need to set up?
Just the table footprint: 4ft x 2.5ft at the base, growing in 2ft sections to match your guest count. No truck, trailer or vehicle parks at your event.
Can you serve at a school, park, venue, or private property?
Absolutely β we're fully mobile, so we'll bring the display and set it up wherever your event is being held.
Events
What kinds of events do you cater?
We cater events of all sizes and styles. If you're looking for great food, we would love to help bring it to life!
What kind of event are you the best fit for?
We're a great fit for any event with great food. We don't get too caught up on the type of eventβabout all we care about is the food and the experience we create for hosts and guests alike.
What's the most memorable event you've done?
One of our first large-scale charcuterie jobs was a New Year's Eve wedding, and it was snowing. The atmosphere, the weather, the table β everything came together to make it special. Plus you never forget your first, so that one has stayed with us.
Is there a minimum guest count?
There's no minimum guest count required β we do, however, work to a minimum spend.
What size events can you handle?
We can handle events of all sizes. Tables start at 4ft x 2.5ft and grow in 2ft sections β a 4ft table serves up to 60 guests, a 12ft table up to 235. Beyond that we design the run with you. It depends on your vision.
The unexpected
What if you run out of food?
We build the display to cover the guest count we are given up front, so please do give us an accurate number. We don't bring extra past that number, and because everything is prepared and styled ahead of service we can't add to a table once it is built.
What do hosts most often forget to ask?
Dietary restrictions. Accommodating your guests is rarely difficult when we know in advance, but once gluten enters the kitchen and half your guests are gluten-free, it becomes hard to eliminate or decontaminate with 100% certainty.
What happens if you're delayed getting to the venue?
We're a mobile team, so on rare occasions a serious accident blocking traffic can delay our arrival. Should this happen, we're glad to stay later to ensure every guest is able to enjoy the display. These moments are few and far between, and accidents aren't anyone's fault β yours or ours β but our priority is making sure you receive everything you've paid for.
What happens if more guests show up than we told you?
There is a chance we run out of food. Its good practice to overestimate by 10-15% to make sure everyone gets fed.
What's your plan if the weather turns bad?
We show up rain, snow, wind, or shine. We can always pack things in to-go containers.
Proof & trust
Are you licensed and insured?
Yes. All our teams hold a health license and insurance.
What makes you different from other caterers?
As much as we would love to say we serve better food - the truth is other caterers serve great food too, we just believe ours is superior. Our differentiating factor is our communication. We answer the phone at all times, respond to emails at all hours and text you back. We leave no chance for a surprise on event day.
Can you provide insurance or vendor documentation?
We can provide that when requested. Please note on COI's our agents can take up to 7 days. We are unable to change our policies for events.
How long have you been doing this?
We started in 2020 and have slowly adapted and grown since. Please let us know how we can serve you!
Why should we book you?
As owner-operators we know this service inside and out. We aren't just caterers; we are your co-hosts. We will tell you what a grazing display can and can't do, and never mislead you on what isn't possible.
Where you serve
Why do you need the exact event address?
We're glad to walk you through this: an accurate quote depends on knowing exactly where we're headed, as mileage is one of the biggest factors in our pricing. Without the precise event address, we simply aren't able to put together your quote.
Can you serve nearby towns outside the main city?
Absolutely β we can travel to you, wherever your event may be.
Where do you serve?
We serve private parties throughout the area. Reach out today β our team is ready to bring a beautifully styled display to your event.
